DEFINITION OF WORK
Summary
This is clerical work of routine difficulty and is performed under immediate supervision. An employee in this class is responsible for operating a standard or electronic keyboard to record and/or store structured office records.
Standard Classification Factors
Supervision Received - LEVEL A: "Under immediate supervision " "Immediate" means that the employee has little or no authority to select alternative work methods or to render independent judgments of any consequence. Each task is performed according to detailed instructions, written or oral. Assignments are usually for a short duration and when completed are usually checked for accuracy, adherence to instructions and established regulations, as well as the workers rate of performance.
Difficulty - LEVEL A: Routine Where the work is usually repetitive and the employee works from detailed instructions, the difficulty is usually limited to accuracy and speed.
Complexity - LEVEL A: Work is a simple or routine nature requiring very little analytical thought. Tasks are clearly defined, highly organized, closely related and often repetitive. Few if any alternatives exist for methods or procedures to be used. Work is usually in the form of specific assignments and is closely reviewed for accuracy and progress. When guidelines exist at this level, they are usually detailed, easy-to-follow instructions that cover all or most of the important aspects of the work. Workers at this level can readily determine the actions which need to be taken.
Consequence of Actions or Decisions - LEVEL A: Consequences of actions or decisions at this level are insignificant as the work is normally closely reviewed and errors are easily detected by a standard check or cross-check. Costs due to errors are negligible.
Contacts - LEVEL A: The purpose of the contact is to obtain, clarify, give or screen established factual information, regardless of the type (i.e., easily understood or technical) within a well-defined relationship. Normal communication skills are required.
Physical Demands - LEVEL A: The work is predominantly sedentary and requires minimal or negligible physical exertion. The employee is normally seated; however, the nature of the work allows for periods of standing or walking at will.
Environmental Conditions - LEVEL A: The work environment involves normal everyday hazards or discomforts typical of offices, meeting and training rooms, or libraries. Comfortable levels of temperature, ventilation, lighting and sound are inherent in the work environment. Exposure to deviations from pleasant environmental conditions is only occasional. The likelihood of injury is remote.
Supervision/Leadership - LEVEL A: No supervisory or leadership responsibility; may explain work instructions or assist in training others.
Distinguishing Factors
Positions in this class differ from those of other clerical classes in the amount of time spent operating a keyboard. Positions in this class differ from those of the Keyboard Operator II class in that the latter work requires simple analysis of data and recognition of differences in related situations in order to determine needed actions.
EXAMPLES OF WORK PERFORMED
Sets up and types on standard or electronic keyboards from copy, rough draft, dictating machine, detailed instructions, forms, form letters, tables, receipts, vouchers, permits, stencils, masters or other easily interpreted materials.
Operates electronic keyboards to enter well defined source data from previously coded and edited source documents.
Proofreads recorded information in order to correct typographical errors, using knowledge of spelling, punctuation and capitalization or to make corrections, deletions and additions requested by user.
Reviews and codes data of a simple nature before entry such as inserting common abbreviations or designated codes which identify organizational units or locations.
Verifies the accuracy of previously entered data by re-entering in the "verify mode," using a video terminal, key-to-disk, key-to-tape, key verifier or similar equipment; may visually verify computer recalled data.
Sets up and types from copy, rough draft, dictating machine or general instructions technical medical materials such as medical records, summaries and case histories, vouchers, departmental reports, insurance forms and other medical office materials.
Maintains production records, stored document log sheets and other needed statistics on prescribed forms.
REQUIRED KNOWLEDGE, ABILITIES, AND SKILLS
*Knowledge of English, spelling, grammar and punctuation.
*Knowledge of modern office practices, procedures and equipment.
Knowledge of standard formats for letters, memos and reports.
Knowledge of the methods and equipment used in computer data entry work and electronic keyboard operation.
*Ability to type accurately from rough draft or plain copy at a reasonable working rate of speed.
*Ability to understand and follow oral and written instructions.
*Ability to acquire knowledge of procedures used in preparing data for entry or verification such as batching, logging and coding.
*Ability to learn assigned tasks within a reasonable period of time and adhere to prescribed routine.
Ability to type accurately from machine dictation.
Ability to proofread narrative and/or numerical materials.
*Ability to establish and maintain effective working relationships with other employees and the general public.
Ability to accurately record, file and transmit information.
Ability to operate data entry equipment.
Ability to operate a stand alone word processor or a personal computer with word processing software package.

MINIMUM REQUIREMENTS:
Job knowledge at an entry level in high speed data entry.
