DEFINITION OF WORK

Summary

This is clerical work of routine difficulty and is performed under immediate supervision. An employee in this class is responsible for operating a standard or electronic keyboard to record and/or store structured office records.

Standard Classification Factors

Supervision Received - LEVEL A: "Under immediate supervision…" "Immediate" means that the employee has little or no authority to select alternative work methods or to render independent judgments of any consequence. Each task is performed according to detailed instructions, written or oral. Assignments are usually for a short duration and when completed are usually checked for accuracy, adherence to instructions and established regulations, as well as the worker’s rate of performance.

Difficulty - LEVEL A: Routine… Where the work is usually repetitive and the employee works from detailed instructions, the difficulty is usually limited to accuracy and speed.

Complexity - LEVEL B: Work is of a structured nature including duties that have several related steps. This level involves simple analysis of data, identification of easily distinguishable facts and recognition of differences in related situations. Workers at this level exercise limited independent judgment in determining methods or procedures to be used in making minor decisions. Work is normally controlled by frequent review and consultation with supervisors. When guidelines exist at this level, they are usually specific and aid in determining an approach to problems or situations. Workers at this level must be able to identify basic differences in situations to determine the actions which need to be taken.

Consequence of Actions or Decisions - LEVEL B: Consequences of actions or decisions at this level are minor as the work is normally reviewed regularly and errors are usually detected in following operations. Errors may be disruptive to co-workers or may cause minor inefficiency. Costs due to errors are minimal.

Contacts - LEVEL A: The purpose of the contact is to obtain, clarify, give or screen established factual information, regardless of the type (i.e., easily understood or technical) within a well-defined relationship. Normal communication skills are required.

Physical Demands - LEVEL A: The work is predominantly sedentary and requires minimal or negligible physical exertion. The employee is normally seated; however, the nature of the work allows for periods of standing or walking at will.

Environmental Conditions - LEVEL A: The work environment involves normal everyday hazards or discomforts typical of offices, meeting and training rooms, or libraries. Comfortable levels of temperature, ventilation, lighting and sound are inherent in the work environment. Exposure to deviations from pleasant environmental conditions is only occasional. The likelihood of injury is remote.

Supervision/Leadership - LEVEL B: Involves functional leadership responsibility. As a "senior worker", performing essentially the same or similar work as those overseen, responsibility includes training, instructing, scheduling and reviewing. As a "project leader" may be responsible for a phase(s) of a single project which includes planning, coordinating and reviewing the work of others. This level may also involve limited administrative responsibility such as participating in the evaluation of work performance.

Distinguishing Factors

Differs from other clerical classes in the amount of time spent operating a keyboard.

Differs from the Keyboard Operator I class where the work is of a simple or routine nature and where few alternatives exist for procedures used.

Differs from the Keyboard Operator III class where the work is of average difficulty and is performed under general supervision.

EXAMPLES OF WORK PERFORMED

Sets up and types on standard or electronic keyboards a variety of forms, letters and reports in the English language or other Romance languages, in the straight line format. Sets up and types budgets and other simple statistical data utilizing Arabic numerals and common Romance language symbols.

Sets up and types on standard or electronic keyboards from copy, rough draft, dictating machine or general instructions, technical medical materials such as medical records, summaries and case histories, vouchers, department reports, insurance forms and other medical office materials such as forms, accounting and financial statements, payrolls, receipts, reports, permits and other materials.

Proofreads recorded information in order to correct typographical errors, using knowledge of spelling, punctuation and capitalization or to make corrections, deletions and additions requested by user.

On electronic equipment, merges written variables or arithmetic data with stored information to produce final output.

Receives and reviews source documents that are either coded or partially coded; resolves problems relating to incompleteness or illegibility of source data.

Provides guidance and assistance to other keyboard operators, including training, distributing work assignments equitably according to established priorities, providing information and reviewing work for accuracy and for adherence to procedures.

Resolves problems relative to diverse source documents which have incomplete entries and have information entered in the wrong location.

Maintains various tapes used for data entry including operator statistics tapes and tapes used for transfer of data from disk to tape; may transfer data or programs from disk to disk or tapes; performs all logging procedures, labeling and mounting.

As lead worker, plans, assigns and reviews the work of clerical staff engaged in processing fiscal, personnel, educational, retirement or other departmental records.

REQUIRED KNOWLEDGE, ABILITIES, AND SKILLS

*Knowledge of English, spelling, grammar and punctuation.

*Knowledge of modern office practices, procedures and equipment.

*Knowledge of standard formats for letters, memos and reports.

*Knowledge of the principles, methods, techniques and equipment used in electronic keyboard operation.

Knowledge of departmental functions, procedures, rules and regulations.

*Ability to set up and type reports, correspondence and other materials according to prescribed formats.

Ability to produce final copy from machine dictation.

*Ability to understand and follow oral and written instructions.

*Ability to proofread narrative and/or numerical copy.

*Ability to establish and maintain effective working relationships with other employees and the general public.

*Ability to make minor decisions in accordance with precedents and/or regulations and to apply these to work situations.

Ability to operate a stand alone word processor or a personal computer with a word processing software package.

MINIMUM REQUIREMENTS:

Routine work experience in high speed data entry.
