OK to Process Department Timesheets page

Purpose: The purpose of this lesson is to learn how to enter and “OK to Process?” time for the entire department from one location.

Navigation: Time and Leave > Maintain Department Timesheet

Timing: Once time is entered for all employees in the department, you can come to one page to turn on the OK to Process? checkbox for all employees in that department. If some employees should not be processed, you can turn off their OK to Process? checkbox from this page as well.

Important Notes: It is important that you only OK to Process? those employees who should be paid.

Use the OK to Process Department page to view and “OK to Process?” time and leave records for all employees within a department. This page is particularly useful to quickly OK to Process? groups of employees within a department who have no time and leave entry updates.

An alternative way to turn on the OK to Process checkbox for all employees is to use the Department – Report functionality, which is covered in another section.

Turning on the OK to Process Department? checkbox will indicate that a payroll record should be created for each employee in the department using the detail information. There is only one OK to Process indicator per employee record. It does not matter which page you turn the OK to Process check box on (checkmark) or off (no checkmark), the record will reflect the most recent action taken.

The OK to Process checkbox on the Time Entry Daily and Time Entry Summary pages both have the same value for the OK to Process checkbox as on the OK to Process Department page.

You can turn the OK to Process Department checkbox off (no checkmark), but all individual employee Process? check boxes will remain on (checkmark). You can then turn the Process? checkbox off (no checkmark) for selected employees.

In addition to viewing and approving time and leave data for an individual employee, this page may be used to view and approve time and leave data for an entire department.

An agency can view total hours for the pay period from this page instead of time and leave detail. If the total hours are correct for the department, it is possible to approve the time and leave data using the OK to Process Department page.
