AGENCIES AND GROUPS

An agency supervisor can add a group to the agency (default group).
Use the following path: Agencies and Contacts, Agency Profile Maintenance,
Add a Group to an Agency. Your agency name should already show in the drop
down box. Click the Add a Group to the Chosen Agency button.
On the Add a Group to Agency XXX page, type in the new group, default contact,
and default contact authorities information, then click Add the Group.
An agency supervisor can change the agency default contact's authorities, but only
the agency primary contact can change the agency default contact to a different person.
Change Agency Default Contact to a Different Person: The agency
default contact, not the primary contact, can be changed by the primary contact.
Use the following path: Agencies and Contacts, Agency Profile Maintenance,
Modify an Agency Profile. Your agency name should already appear in the drop
down box. Click Modify the chosen profile.
On the Modify Agency Default Group Profile page, go to the section that asks
"Who should receive default interfunds e-mails?". Select the appropriate person
and click Modify the profile at the bottom of the page.
If changing the primary contact to a different person, a new form DA-116 must
be submitted to Accounts and Reports' Audit Services Team. Please refer to Obtain
access or change primary agency contact for procedures to change agency primary
contact.
Change Agency Default Contact Authorities: Use the following
path: Agencies and Contacts, Agency Profile Maintenance, Modify an Agency
Profile. Your agency name should already appear in the drop down box. Click
Modify the chosen profile.
On the Modify Agency XXX Default Group Profile page, make the changes,
then click Modify the Profile.
An agency supervisor can change the agency's division, number/sfx, name, and address.
Use the following path: Agencies and Contacts, Agency Profile Maintenance,
Modify an Agency Profile. Your agency name should already appear in the drop
down box. Click Modify the chosen profile.
On the Modify Agency XXX Default Group Profile page, make the changes, then
click Modify the Profile.
An agency supervisor or a group supervisor of the group can change the group default
contact and its authorities.
Set Up the First Group Default Contact: The first default contact
is entered when the group is added to the agency (by an agency supervisor) using the
following path: Agencies and Contacts, Agency Profile Maintenance, Add a Group
to an Agency.
On the Add a Group to Agency XXX page, key in the group, default contact, and
default contact authorities information and click Add the Group.
Change a Group Default Contact and its Authorities: The default contact,
as well as its authorities, can be changed later by either an agency supervisor or a
group supervisor of the group by using the following path: Agencies and Contacts,
Group Profile Maintenance, Modify a Group Profile. Select the group from the
drop down box and click Modify the Chosen Profile.
On the Modify Group Profile X page, make the changes, and click Modify
the Profile.
Delete, Inactivate, or Reactivate a Group
An agency supervisor or a group supervisor of the group can delete, inactivate, or
reactivate a group. Groups that have any system activity can not be deleted, only
inactivated/reactivated. Groups that currently have active vouchers are not allowed to be
inactivated.
Use the following path: Agencies and Contacts, Group Profile
Maintenance. Go to Delete a Group, Inactivate a Group, or
Reactivate a Group. Select the group to be edited from the appropriate drop
down box and click Delete the Group, Inactivate the Group, or
Reactivate the Group.
Turn On-Line Ordering On/Off
The indicator to receive on-line orders through the SOKI3+
system can be turned on/off on the agency level or on the group level for sub-groups
within an agency. The system default is On. The agency name will no longer appear
on the list box to receive orders once the indicator is turned off.
- To turn on/off the indicator at the agency level, the user
must be an agency supervisor. Use the following path: Agencies and
Contacts, Agency Profile Maintenance, Modify an Agency Profile.
Click Modify the chosen profile.
On the Modify Agency Default Group Profile page, go to the "Does the
default group accept on-line orders?" field, click the Yes or No button as
appropriate.
- To turn on/off the indicator at the group level for a subgroup,
the user must be an agency supervisor or a group supervisor of the group. Use
the following path: Agencies and Contacts, Group Profile Maintenance,
Modify a Group Profile. Select the group and click on the Modify the
chosen profile button.
On the Modify Group Profile XXX page, click on the link at the top of the
page that says "Record this group as NOT accepting on-line orders" or
"Record this group as ABLE to accept on-line orders".
An agency supervisor or a group supervisor of the group can view the profiles of all
users in the group.
Use the following path: Agencies and Contacts, Group Profile Maintenance,
Modify a Group Profile. Select the group you wish to view from the drop down
box, click Modify the Chosen Profile.
On the Modify Group Profile XXX page, the profiles of all users in the group
are listed at the bottom of the page.
